Working with Children & Child Safeguarding Policy

Videoguys Australia Pty Ltd, including Videoguys Connect, is committed to maintaining safe, respectful and professional standards when providing services in environments where children may be present, including schools, educational facilities, places of worship, community venues and similar settings.
This policy outlines our commitment to child safety and child safeguarding in accordance with applicable Victorian legal requirements, including the Worker Screening Act 2020 (Vic) and the Victorian Child Safe Standards.
For the purposes of this policy, a child means a person under 18 years of age.
1. Our commitment to child safety
Videoguys Australia is committed to:
- promoting the safety, wellbeing and dignity of children and young people
- ensuring employees, contractors and representatives behave appropriately when attending child-related sites
- supporting compliance with customer site-specific child safety and visitor requirements
- taking reasonable steps to prevent inappropriate conduct, harm, abuse or neglect in connection with our work activities
2. Scope
This policy applies to:
- employees of Videoguys Australia Pty Ltd
- contractors and subcontractors engaged by Videoguys Australia
- any representative attending a site on behalf of Videoguys Australia or Videoguys Connect
This may include work undertaken at:
- schools and educational institutions
- childcare and early learning environments
- churches and places of worship
- community centres and sporting venues
- other locations where children may be present or where child safety obligations apply
3. Working with Children Checks
Where required by Victorian law, by the nature of the work being performed, or by customer site policy:
- personnel engaged in child-related work must hold a current and valid Victorian Working with Children Check, unless a lawful exemption applies
- Videoguys Australia may request evidence of a current Working with Children Check before assigning personnel to an applicable site
- contractors may be required to provide proof of a current Working with Children Check before attending qualifying sites
- where services are performed outside Victoria, equivalent screening requirements in the relevant State or Territory may apply
Where a Working with Children Check is not legally required for a particular attendance, Videoguys Australia still expects all personnel to comply with this policy and with any child safety directions issued by the host site.
4. Standards of conduct
All employees, contractors and representatives must:
- act professionally, respectfully and appropriately at all times
- follow all child safety, visitor management, supervision and sign-in procedures required by the host site
- avoid being alone with a child wherever reasonably possible
- avoid any unnecessary physical contact with a child
- not engage in inappropriate, personal or informal communication with children
- not photograph, film, record or interview children unless expressly authorised for a legitimate business purpose and permitted by the site
- not use language or behaviour that is intimidating, offensive, discriminatory, sexualised, overly familiar or otherwise inappropriate
- immediately comply with any reasonable direction from the site’s responsible staff regarding child safety or access restrictions
5. Reporting concerns
If any employee, contractor or representative becomes aware of:
- suspected abuse or harm involving a child
- inappropriate conduct involving a child
- a breach of this policy or of a site’s child safety procedures
they must report the concern as soon as possible to:
- the relevant site supervisor, child safety officer or authorised contact at the customer premises, and
- Videoguys Australia management
Where required by law, or where directed by the relevant authorities or site management, the matter will be escalated appropriately.
6. Training and awareness
Videoguys Australia will ensure that relevant personnel who attend child-related environments are made aware of:
- this policy
- expected conduct standards
- customer-specific child safeguarding or visitor requirements where applicable
- the importance of promptly reporting concerns or incidents
7. Site compliance
When attending customer premises where children may be present, Videoguys Australia will comply with applicable site requirements, including:
- sign-in and identification procedures
- escort or supervision requirements
- restricted access areas
- child safety and safeguarding procedures
- visitor codes of conduct and occupational health and safety requirements
Where requested, we may provide confirmation of applicable screening or compliance documentation for personnel attending the site.
8. Policy review
This policy may be reviewed and updated from time to time to reflect changes in legal requirements, operational practices, or customer expectations.
